Privacy Policy

The short version
This policy covers MindRep's marketing website and the MindRep Early Access application at start.mindrep.com/pilot/apply, which the “Get first access” button on this website opens.
- This website has no accounts, no logins and no forms. It sets no cookies, stores nothing in your browser, and runs no analytics, advertising, or social media trackers.
- The Early Access application asks for a preferred name, a contact email, a US cell phone number, the athlete's age group, and four short confirmations. We use them only to review the request and to contact you about Early Access, and we delete the contact details automatically on the deletion date shown on the form.
- Early Access is open to athletes aged 13 and over. The application collects no contact details for an athlete under 13.
- We do not sell personal information or use it for advertising.
Who is responsible for this website
This website and the Early Access application are operated by MindRep LLC, a Delaware limited liability company (“MindRep”, “we” or “us”). Our mailing address is 13 Tammy St., Salem, NH 03079, United States.
This policy covers this marketing website, its early-access email list, and the Early Access application: the application form at start.mindrep.com/pilot/apply, the page for correcting or removing a request at start.mindrep.com/pilot/interest/change, and the emails they send. It does not describe how the MindRep app handles data once an invited athlete creates an account and uses the app; see “If an athlete is invited” below.
Information you give us
The Early Access application
The application is a short form on start.mindrep.com, MindRep's onboarding site. The athlete, or a parent or guardian, can fill it in. It asks for:
- The athlete's age group: 13 to 15, 16 to 17, or 18 or older. If “Under 13” is chosen, the form shows a message and asks for nothing else — no name, email address, or phone number is collected.
- A preferred name (a first name or nickname is enough).
- A contact email address.
- A US cell phone number, which we store in the standard +1 format. Requests made before the form began asking for a phone number do not have one.
- Four confirmations: that MindRep may contact you about the request, that you live in the United States, that you have an iPhone for Early Access, and that you can take part for seven days after your first sign-in to the app.
With the request we store a request reference, when it was received, the weekly collection window it belongs to, and which version of the form's notice you were shown. We do not store your IP address or browser details with the request. Submitting a request does not create an account, send an invitation, grant access to the app, or start a trial.
After you submit, we send one confirmation email to the contact address, from noreply@mindrep.com. It contains your request reference, which you need, together with the same email address, to correct or remove the request. Replies go to info@mindrep.com. The email is delivered through Resend, an email delivery provider.
Your cell phone number is used only to coordinate your Early Access request — for example, a member of our team may text you about your request or your invitation. We do not send marketing texts, and we do not send automated texts: any text comes individually from our team. The number is not given to any SMS, marketing, or advertising service.
The application pages set two functional cookies: one while you fill in the form, so that our server recognises your request if you retry and does not save it twice, and one while you correct or remove a request, which keeps track of that change until it is verified. Both are encrypted, can be read only by our server, are used only on the Early Access pages, and expire within an hour. Neither is used for analytics or advertising.
Our early-access email list
Earlier versions of this website had a “Get Early Access” form with a single email field. That form has been removed, and this website no longer collects email addresses. If you signed up through it, your address is on our early-access list, held in a Cloudflare D1 database in our own Cloudflare account. Alongside the address we store the date and time of the sign-up, which form it came from, and the two-letter country code Cloudflare derived from your network connection. We do not store your IP address, your browser user agent, or anything else from the request.
The only email sent on sign-up was a single welcome email, delivered through Resend, which received your address in order to send it. Apart from that welcome email, the address has not been passed to any other service.
Information collected automatically
On this website (mindrep.com), specifically:
- No cookies. The site sets none, and does not read or write browser storage of any kind.
- No analytics or tracking. There are no measurement, advertising, retargeting, session-recording, or social media scripts.
- No third-party embeds. There are no embedded videos, maps, chat widgets, or comment systems.
- Self-hosted fonts. Typefaces are served from this site, so viewing a page does not disclose your visit to a font provider.
On the Early Access application pages (the application form and the correction and removal page), our product analytics tool, PostHog, collects nothing, the pages set no analytics or advertising cookies, and screen session recording is off. The only cookies they set are the two functional cookies described above.
As with any website, the infrastructure that delivers these pages necessarily processes technical request data — such as your IP address, browser user agent, the page requested, and the time of the request — in order to serve them and protect them from abuse. This website is hosted on Cloudflare Pages and the Early Access application on Vercel, so that processing happens on Cloudflare's and Vercel's infrastructure on our behalf, and those records are retained for limited periods for security and operations.
How we use information
The limited technical information described above is used only to deliver this website and the application and keep them secure and available. What you submit in the Early Access application is used to review the request, decide whether to invite the athlete, and contact you about Early Access — by email, and by text to coordinate your request. Addresses on the early-access email list are used only to contact you about early access to MindRep.
Early Access requests can be viewed only by MindRep staff with super-admin access, in a private admin tool, to review eligibility and invite selected athletes.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We do not disclose it to advertisers, data brokers, or list resellers.
Third parties that receive your information
These are the only third parties that handle personal information from this website and the Early Access application. Each acts as our service provider, handling it on our behalf to provide its service to us.
- Cloudflare — hosts this website and runs the database holding the early-access email list. Receives technical request data for every visit, and the contents of the early-access email list. Cloudflare's privacy policy.
- Vercel — hosts the Early Access application at start.mindrep.com. Receives technical request data for every visit to it, and what you submit as it passes to our database. Vercel's privacy policy.
- Supabase — runs the database, in the United States, that stores Early Access requests. Supabase's privacy policy.
- Resend — delivers our emails: the welcome email for the early-access email list, the Early Access confirmation email, and the one-time codes for correcting or removing a request. Receives the recipient's email address and the message, and receives an email-list address again if you ask us to delete it, so that any record of it there can be removed. Resend's privacy policy.
There are no others. No analytics provider, advertising network, CRM, SMS or marketing platform, or AI provider receives anything from this website or the Early Access application.
If an athlete is invited
If our team invites an athlete, a member of our team sends the athlete a private invitation link. The athlete then creates a MindRep account — with an email address and a password, their date of birth to confirm the age group that was approved, and a code we email to them — confirms they are taking part, and uses the MindRep iPhone app, installed through Apple's TestFlight, for a seven-day Early Access week.
Waivers, for adults and for athletes aged 13 to 17, are handled by the MindRep team offline, outside this website and the app. Neither this website nor the app stores waiver documents.
While an athlete uses the app, it processes what they enter — such as check-ins, sessions, drill responses, messages with the AI coach, and feedback. This policy does not describe that processing.
Artificial intelligence and automated decisions
This website and the Early Access application do not use artificial intelligence. Neither has a chatbot or assistant, and neither profiles, scores, or evaluates visitors. What you submit is not sent to any AI or machine-learning system, and it is not used to train any model. The application turns away an “Under 13” answer automatically; every decision about who is invited is made by a person on our team.
This statement covers this website and the application only. The MindRep app includes an AI coach; how the app uses AI is not described in this policy.
Your choices and rights
You can browse this entire website without submitting anything. Because the website sets no cookies, and the application pages set only the two functional cookies described above, there is no tracking to opt out of and no consent banner to dismiss.
Early Access requests. To correct the name, email address, or phone number on your request, or to remove it, use start.mindrep.com/pilot/interest/change. You will need your request reference, from your confirmation email, and the email address you applied with. We send a one-time code to that address to confirm it is yours, and our team then applies the matching change. That page changes only the request: it does not delete an app account, change an invitation, or cancel a membership. For anything else, or if you no longer have the reference, email privacy@mindrep.com.
The early-access email list. You can unsubscribe from our emails at any time, using the unsubscribe option in our emails or by contacting us. Unsubscribing removes your address from the early-access list.
Wherever you live, you can ask us to access, correct, or delete the personal information we hold about you — your Early Access request and, if you signed up through the old form, your place on the early-access email list. Send your request to privacy@mindrep.com or to our mailing address below. We may need to confirm that the request comes from the owner of the email address, and we will complete it within 45 days of receiving it.
Age requirement
Early Access is open to athletes aged 13 and over. The application asks which age group the athlete is in. If “Under 13” is chosen, the form explains that Early Access is for athletes 13 and older and collects no contact details. We do not knowingly collect personal information from children under 13, and we do not direct this website or the application to them. If you believe we hold information about a child under 13, contact us using the details below and we will delete it.
Athletes aged 13 to 17. For an athlete aged 13 to 17, the application collects the same information as for any applicant — a preferred name, a contact email, a US cell phone number, the age group, and the four confirmations — whether the athlete or a parent or guardian fills it in. It does not ask for the athlete's date of birth, school, or any other details. Waivers and parent or guardian permission for athletes aged 13 to 17 are handled by the MindRep team offline, outside this website and the app, before any invitation.
Parents and guardians. A parent or legal guardian of an athlete aged 13 to 17 can ask us to see, correct, or delete that athlete's Early Access request, or to stop contacting them, by emailing privacy@mindrep.com. Tell us the athlete's name and the email address used on the form; we may ask for details to confirm that you are the athlete's parent or guardian. With the request reference and access to the email address used, you can also use the correction and removal page described above. Otherwise, the contact details are deleted automatically on the deletion date shown on the form.
Keeping information secure
Early Access requests are held in a private database at Supabase. They are not publicly readable, are not available through any athlete account, and can be viewed only by MindRep staff with super-admin access through our private admin tool.
The early-access email list is held in a private database inside our own Cloudflare account. It is not publicly readable, is not exposed by any page or endpoint on this site, and is reachable only with our account credentials.
This website and the Early Access application accept no file uploads of any kind. There is no upload control, no media storage, and no public storage bucket attached to them — so there are no files of yours for us to keep or to leave exposed.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a security incident affects your information, we will notify affected users and the relevant authorities as required by law.
Data retention and deletion
Early Access requests
Each weekly collection window has a deletion date, shown on the form before you submit — currently about two weeks after the window closes. Once that date has passed, the contact details — name, email address, phone number, age group, and confirmations — are deleted automatically by a scheduled job that runs every few minutes. If you ask us to remove the request sooner, they are deleted then.
What remains afterwards is a record that a request existed and was removed — its reference, its collection window, and its dates — with no name, email address, or phone number in it.
Removing a request deletes the application only. If an athlete was invited, the email address the invitation was sent to is kept with the invitation, and the athlete's account information is kept with their account; see “If an athlete is invited” above.
The early-access email list
We keep your address on the early-access list until you unsubscribe or ask us to delete it, or until 24 months after you signed up — whichever comes first.
If you unsubscribe or ask us to delete your address, we delete the record itself from our early-access list. A deletion request is completed within 45 days, and also removes any contact record for you in our Resend account.
The one thing we keep is a one-way hashed copy of the address on a suppression list, used only to make sure we do not email you again.
Backups and provider records
Deleted records can remain for a limited period in the automatic backups our database providers keep. Technical request logs held by Cloudflare and Vercel, and send records held by Resend, expire under those providers' own retention periods.
Where your information is processed
MindRep is offered in the United States, and your information is stored and processed in the United States. Early Access requests are stored in a Supabase database in the United States. The pages themselves are served from global content delivery networks, so they may be delivered from a location near you.
Changes to this policy
We may update this policy as MindRep develops — in particular, if we later add analytics or other measurement to this website, or change what the Early Access application collects, this policy will be updated before that change goes live. The “Last updated” date at the top reflects the current version.
